Name the decision-makers
Give the traveller or team contact, the person approving the spend and the invoice or accounts contact. If an agency is placing someone for a client, say who can accept the booking terms.
One named contact reduces the risk of a date change, arrival question or extension request being lost between departments.
Send the operational brief
Include the work site, headcount, separate beds, bedrooms, whole or shared home, dates, parking, maximum commute, weekly budget and any likely extension. Add the reason for the stay so the search is judged against the right routine.
Tell the provider what cannot be compromised. A general request for 'somewhere near Birmingham' leaves too many important decisions unresolved.
Approve what is actually offered
Before confirming, check the property's address, sleeping layout, parking, total price, cleaning or required extras, arrival process and booking terms. Make sure the information is suitable for the people who will use the home.
Keep the confirmed proposal and the contact route available to the traveller. The enquiry itself does not reserve a home.
